Business Referral Plan

Professional Referral Pathway

Business Referral Journey

Our streamlined referral pathway has been designed for healthcare professionals, pharmacies, GP practices, home care agencies, care homes and community healthcare providers. From identifying a patient with hearing difficulties through to secure clinical reporting, every stage prioritises patient safety, clinical governance and professional communication.

How Our Referral Process Works

Every referral follows a structured clinical pathway designed to minimise administration for your organisation while ensuring patients receive safe, evidence-based ear care delivered by a qualified pharmacist in their own home. Below you'll find the complete eight-step referral journey.

1
Patient Identification & Referral Initiation
Who: Home care workers, GPs, pharmacists and healthcare professionals

Identify a client experiencing hearing loss, blocked ears, discomfort, suspected earwax build-up or communication difficulties that may benefit from professional ear canal assessment. Once appropriate, initiate a referral to SoundBack Ear Care.

2
Secure Informed Consent
Patient Consent

Before any referral is submitted, obtain explicit informed consent from the client or their authorised legal representative to securely share their details with SoundBack Ear Care in accordance with UK GDPR and professional confidentiality requirements.

3
Complete the Secure Referral Form
Approximately 2 Minutes

Complete our secure online SoundBack referral form using any computer, tablet or smartphone. The referral has been designed specifically for healthcare professionals and typically takes less than two minutes to complete. Once submitted, our clinical team reviews the referral and contacts the patient promptly to arrange a suitable home visit.

4
Clinical Ear Examination & Assessment
Home Visit Assessment

A qualified SoundBack clinician attends the patient's home and performs a comprehensive clinical assessment. Using professional video otoscopy, both ear canals are examined to identify impacted earwax, meatal obstruction or other visible findings before any treatment is undertaken.

5
Microsuction Ear Wax Removal Treatment
Modern Clinical Treatment

Where clinically appropriate, earwax is removed using modern water-free microsuction under continuous visual guidance. In suitable cases, carefully controlled water irrigation may also be used where clinically indicated. Every procedure prioritises patient comfort, safety and preservation of ear canal health while avoiding outdated ear syringing techniques.

6
Digital Documentation via ClearClinic
Clinical Record Keeping

Every appointment is securely documented within our clinical management system. High-definition digital otoscopy images are captured before and after treatment to provide clear visual evidence of the patient's ear canal condition and the outcome of the procedure. These records form part of the patient's secure clinical notes and support continuity of care.

7
Flexible Payment Options
Simple & Secure Payment

Once treatment has been completed, a secure online payment link is sent directly to the patient or their authorised representative. We offer immediate card payment together with flexible interest-free instalment options through Klarna and Shop Pay where available, allowing patients to choose the payment method that best suits their circumstances.

Transparent Pricing

How Treatment Fees Are Calculated

Fair, Individual Pricing

Every patient receives an individual quotation before treatment begins. Our fees are calculated according to the clinical complexity of the earwax impaction, the expected treatment time, specialist equipment required and the travel distance for the home visit.

Typical appointment fees currently range between £100 and £300.

*Pricing is variable and subject to change over time based on clinical requirements, travel distance and operational costs.

8
Automated Reporting Back to Your Organisation
Closing the Referral Loop

Following completion of treatment, SoundBack prepares a comprehensive clinical outcome report summarising the assessment, treatment performed and recommendations where appropriate. Secure before-and-after otoscopy images are included to demonstrate the clinical outcome. The report is then returned securely to the referring healthcare professional or home care agency, providing valuable documentation for ongoing patient care and internal record keeping.
